Vaultify Privacy Policy

Last updated: September 7, 2026

This Privacy Policy explains how the Vaultify mobile application (com.vaultify.documentassistant), available only for Android, processes, stores, shares, and deletes user data.

Vaultify is a general-purpose document vault offered by an independent developer. It allows users to organize documents such as warranty certificates, receipts, invoices, identification documents, contracts, and photos using folders and user-defined custom document formats. Users can also add free-text process notes, set reminders, and search, filter, or sort their records.

1. Summary

2. Data Processed and Stored on the Device

Vaultify processes and stores the following user-provided data on the device:

Document and product information

Document or product name, brand, model, serial number, store, price, and other free-form fields based on custom document formats created by the user. The field structure may vary by format.

Dates

Purchase dates, warranty expiration dates, return deadlines, and other dates defined by the user in custom fields.

Document and photo files

Receipts, invoices, warranty documents, photos of identification documents, contracts, and other document or photo files. File metadata such as file name, size, and type may also be stored.

Process notes

Free-text process notes added by the user are stored as chronological records with date and time stamps.

Folders and custom document formats

Folders, custom document formats, and field definitions created by the user.

Reminder preferences

Reminders created for documents and their associated preferences.

Application settings

Theme, biometric application-lock preference, and other local application settings.

3. Where Data Is Stored

Vaultify has no server. Application data is not sent to the developer and is not stored in any system that the developer can access remotely.

All data is stored only on the user’s Android device in the application-specific protected storage area, a local SQLite database, and the application-specific file system.

The Android manifest does not contain the INTERNET permission, and the application makes no HTTP or HTTPS network requests.

Android automatic cloud backup is disabled through android:allowBackup="false". Application data is therefore not automatically backed up to a Google account through Android Auto Backup.

4. Data Sharing and Export

Vaultify does not automatically send, sell, rent, or share data with third parties. Data can leave the device only when the user explicitly initiates one of the following actions:

Sharing a document or PDF summary

The user can send a document or PDF summary through Android’s system share sheet to an application they choose, such as email, WhatsApp, Drive, or another compatible application. Further processing is governed by the terms and privacy policy of the selected application.

Creating a backup file

The user can export all data into a single ZIP-based, unencrypted .gcxbackup file and save it to a chosen location through Android’s system file-saving interface. Backup is not automatic and occurs only when initiated by the user.

No automatic sharing or transfer occurs outside these user-initiated actions.

5. Android Permissions and Their Purposes

The application has no INTERNET permission and no camera permission. To take a document photo, it directs the user to Android’s system Camera application. Gallery and file selection use Android’s system pickers, and no general or broad storage permission is requested.

6. Data Retention and Deletion

Data remains on the device until the user deletes it or removes Vaultify from the device. Users can delete data individually or in bulk from within the application.

When the application is uninstalled, application-specific local data is deleted. If the user has not created a .gcxbackup file, the data is permanently lost. Because there is no server or automatic cloud backup system, the developer cannot restore it.

Exported .gcxbackup files are not automatically deleted. The user is responsible for managing and deleting files saved outside the application.

7. Security and Backup File Warning

Vaultify stores data in Android’s application-specific storage area. However, an exported .gcxbackup file is unencrypted and ZIP-based. It may contain private or sensitive content, including document information, process notes, and attached document or photo files.

Users should keep backup files in a secure location, avoid sharing them with unauthorized persons, and carefully select where and through which application they save or send them. After export, the file’s security depends on the selected storage location and any third-party service chosen by the user.

8. User Content and Disclaimer

Vaultify does not verify document information, dates, process notes, files, or other content entered by the user. It does not guarantee that information is accurate, current, or complete; that documents are authentic or legally valid; or that dates entered by the user are correct.

Vaultify is only a document organization and storage tool. Records, reminders, and PDF summaries are not official documents, legal advice, or verification by any institution. The user is responsible for the accuracy, storage, and sharing of information and files added to the application.

9. Changes to This Privacy Policy

This Privacy Policy may be updated if the application’s features or data-processing practices change. The current version will be published with the last-updated information shown at the top of the page.
